Who we are

PoolProof provides route and service accountability software for pool service companies (“you”, “your business”). This policy describes how we handle information when you use our web application and related services (the “Service”).

Information we process

• Account data. Email address, name, company name, and credentials you provide when you register or administer your workspace.
• Operational data. Data you enter about technicians, service stops, customers (including names, addresses, and phone numbers used for routing or notifications), chemical readings, timestamps, optional GPS or photo proof, and similar fields needed to operate the Service.
• Technical data. Standard logs and diagnostics such as IP address, device and browser type, and usage events to secure and improve the Service.

How we use information

We use the information above to provide, maintain, and secure the Service; to communicate with you about your account and product updates; to deliver customer notifications you configure (for example SMS through a messaging provider); and for fraud prevention, abuse detection, and legal compliance.

We do not sell your personal information or your customers’ personal information.

Subprocessors

We use reputable infrastructure and service providers (for example hosting, database, authentication, storage, analytics, and telecommunications) to run the Service. They process data only as needed to perform their functions on our behalf and under appropriate agreements.

Data retention and security

We retain information for as long as your account is active and as needed to provide the Service, comply with law, resolve disputes, and enforce our agreements. We use industry-standard safeguards designed to protect data in transit and at rest; no method of transmission or storage is completely secure.

Your responsibilities (B2B)

When you upload customer or employee information, you are responsible for having a lawful basis to do so and for providing any required notices or obtaining consent under applicable privacy laws. You may access, correct, or delete much of your workspace data through the Service; contact us for other requests.

International transfers

If you access the Service from outside the United States, your information may be processed in the United States or other countries where we or our providers operate, which may have different data protection rules than your jurisdiction.

Changes

We may update this policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may be communicated through the Service or by email where appropriate.
